What counts as written HOA approval before booking a contractor?

How specific is the HOA’s written approval before you treat a contractor date as firm? A decision that approves the overall design but leaves siding color, trim, or another finish subject to later review seems different from approval of a complete set of plans.

What document do boards typically provide: a decision letter, stamped plans, or both? And if a contractor’s availability depends on timing, how do you handle scheduling while review is still pending or some details remain conditional? I’d rather understand which open conditions could still change the scope or delay the work than assume a general approval settles them.

I wouldn’t treat general design approval as a firm go-ahead if the decision still reserves siding color or trim for review. The written approval should identify which plan set it covers and spell out any outstanding conditions. A contractor date is only firm if they can accommodate those open choices without changing the scope or schedule; otherwise, it’s a date with an asterisk.
