Honestly, I’ve been burned by my “organized” folders more than once. The city asked for a fire inspection certificate from 2017 and I swear I spent half a day scrolling through attachments named things like “scan003.pdf.” What’s helped me is snapping photos of permits with my phone, then dropping them in a cloud folder labeled by property address. Not perfect, but at least I’m not digging through ancient emails anymore... most of the time. Sometimes simple is good, but a tiny bit of structure saves future-you a headache.

That hits way too close to home. I once had to prove a deck permit from 2015 and ended up opening every file labeled “final.pdf” on my laptop—turns out, none of them were final OR the right document. Now I keep a folder for each project, but even then, sometimes I forget what I called it. Your cloud photo trick is smart. Honestly, anything’s better than the “mystery PDF” scavenger hunt...

I get the appeal of folders, but honestly, I’ve found naming conventions matter more than where you put things. If every file’s just “final” or “scan,” it’s chaos no matter how organized your folders are. Maybe a date or project code in the filename helps more? I still mess it up sometimes, but at least I know what I’m looking at without opening ten files...

Naming conventions are a lifesaver, especially when you’re juggling a dozen projects at once. I’ve seen way too many “final_v2” files floating around, and nobody remembers what’s actually in them a month later. Personally, I stick to project code + room + date, and it’s made my life so much easier—at least I can tell if I’m looking at the right version before opening it. But I do think folders still have their place, especially when you’re dealing with clients or city inspectors who want things grouped a certain way. Ever had to send a permit set and realized you’ve got drawings scattered everywhere? That’s a headache I’d rather avoid.

Do you ever run into issues with clients or contractors not following your naming system? I feel like half my job is just wrangling everyone’s files into something usable...

Totally get this. I’ve had folders from contractors labeled “misc” or “stuff to print”—no clue what’s inside until you open every single file. Your system sounds solid. Keeping things organized upfront saves so much hassle later, even if it means chasing people for the right filenames.
